Inviting Your Team to a Studio Show

How invitations, roles, and disciplines work — and exactly what one Studio subscription covers.
What one subscription covers
Two rules, and they are the ones worth knowing before you buy:
- People you invite do not each need a subscription. Invite a lighting designer to your show and they can open it, place cues, comment, and export — covered by yours.
- Your plan covers 5 collaborators, then $9 per seat per month. A seat is one person, however many of your shows they are on — the same designer across four shows uses one seat, and you are not counted. A pending invitation holds a seat until it expires or is accepted. Add or remove seats under Billing in your account dashboard; the change is prorated against your existing subscription.
- Founding a show requires your own subscription. Coverage is one hop: a collaborator can work in your show, but cannot start shows of their own until they add Studio themselves.
That is why an invited collaborator sees both an Open Studio link and an offer to add Studio in their account dashboard. The link is the show they were invited to; the offer is what would let them start their own.
Sending an invitation
From inside a project, open Members and invite by email address, or generate a link. The invitation email carries an Accept invitation button; membership is created when that button is used. Until then the project is invisible to them — Studio answers "not found" rather than "no access", so a project's existence is never leaked to someone outside it.

Disciplines
Alongside a role, each member carries discipline tags — lighting, video, laser, sound, choreographer, artist, stage management, stagehand, automation. Disciplines are how a large show stays legible: each becomes its own lane on the waveform, every report and filter keys off it, and the permission matrix crosses role with discipline so a followspot operator can be given the show without being given the ability to rewrite lighting.
The same segregation survives the export — each discipline becomes its own lane in the desktop show, never collapsed together.
If a collaborator can't get in
- They see "not found" — the invitation has not been accepted yet. Ask them to use the link in the invitation email rather than a bookmarked project URL.
- They were signed out — sessions expire. Signing in again restores access; nothing about the project changed.
- They want to start their own show — that needs their own Studio subscription. Coverage deliberately does not extend to founding projects.
- The invitation was refused with a seat message — every seat your plan covers is spoken for, counting pending invitations. Remove a collaborator you no longer need, or add seats under Billing.
